We are looking for an experienced Event Coordinator to organize and manage the day to day events for our brand new “Experience Center”. The successful candidate will be responsible for presenting and guiding tours through the advanced simulation technology space managing our guests' day to day experience and coordinating Experience Center events.
The Experience Center event coordinator must be well-organized and competent in hospitality and administration. Communication skills and attention to detail will set apart the best among the candidates. In addition, the Event Coordinator will be required to perform various administrative and clerical tasks to support our Experience Center. You will undertake a variety of activities in the center ranging from filing, scheduling, assisting in documentation and answering the phoneThe goal is to organize unforgettable experiences that will ensure the entertainment of participants and facilitate the completion of business objectives.
Responsibilities:
- Understand requirements for each event
- Assisting with the planning, preparation, and organization of events.
- Preform final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
- Evaluate event’s success and submit reports
- Promptly responding to customer queries via email, live chat, video, and phone.
- Evaluate event’s success and submit reports
- Receiving and directing guests to their simulation sessions and technology events.
- Answering questions and addressing concerns of guests in a charming, polite manner.
- Ensuring that the event space is clean prior to and after the event.
- Double-checking that all health safety measures are observed and that staff are well-versed in emergency protocols.
- Creating a positive, relaxed atmosphere where guests can enjoy themselves.
- Coordinating different teams and ensuring they all work together harmoniously.
- Maintain files and records so they remain updated and easily accessible via cloud.
- Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.).
- Answer the phone to take messages or redirect calls to appropriate colleagues.
- Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.
- Undertake basic bookkeeping tasks and issue invoices, checks etc.
- Assist in office management and organization procedures.
- Assist in making travel arrangements and booking venues for conferences and events.
- Perform other office duties as assigned.
Required experience:
- Proven experience as event coordinator.
- A proven track record of organizing successful events.
- Proficient in MS Office
- Excellent vendor management skills.
- Outstanding communication
- Well-organized with multi-tasking skills.
- Able to handle stress and remain calm
- Problem-solving ability.
